Use Saved Searches to create, run, and reuse searches for Person and Company Contacts in InterAction+™ AI.
Saved Searches help you return to important questions about firm data without rebuilding the same search each time. For example, you can use a Saved Search to find contacts on a specific list, identify records that need review, or create a focused group of contacts for follow-up, export, or cleanup.
Saved Searches are dynamic. Each time you run a saved search, the results reflect the current contact data and the lists you have access to.

What changed

Key changes include:
| Area | What changed |
|---|---|
| Name | Searches are now called Saved Searches. |
| Location | Saved Searches are available from the left-side navigation panel. |
| Creation workflow | The workflow is similar to the previous saved search experience, but has been redesigned for InterAction+™ AI. |
| Criteria grouping | Groups replace parentheses when organizing search criteria. |
| Permissions | Separate permissions control who can run a search and who can edit it. |
| Scope | Saved Searches currently support Person and Company Contacts. |
Before you begin
Before creating or running a Saved Search, review the following:
| Requirement | Details |
|---|---|
| Contact scope | Saved Searches are limited to Person and Company Contacts. |
| List access | You can search specific lists or all lists you have read access to. |
| Permissions | Your permissions determine whether you can view, run, create, or edit Saved Searches. |
| Search access | When saving a search, set access rights so the appropriate users can run or edit it. |
Create or run a Saved Search
-
Select Saved Searches from the left-side navigation.
- Select Add Search.
-
Select the lists you want to search.
-
You can choose:
- Specific lists
- All lists you have read access to
- Lists filtered by Favorites or All Lists
-
Define the search criteria.
Use Groups to organize criteria that should be evaluated together.
- To save the search for future use:
- Enter a search name.
- Enter a description, if needed.
- Determine the appropriate access rights.
- Select Save As.
- Select Save.
- To run a one-time search without saving it, select Run Search.
- Review the results in the search results grid.
Build search criteria
Search criteria define which contacts are returned in the results.
When creating criteria:
- Start with the least specific criteria that will still return useful results.
- Add more conditions only when needed.
- Avoid guessing values. An incorrect value may prevent the contact from appearing in the results.
- Use Groups to organize related conditions.
- Review the selected lists before running the search.
Tips for creating search expressions
Use only the criteria you need
When a search includes multiple conditions, each condition affects the results. If too many conditions are added, the search may exclude contacts you expected to find.
For example, if you are not sure how a value is entered, start with fewer criteria and narrow the results after the first search.
Expand the lists being searched
If you are sure a contact exists but it does not appear in the results, review the lists included in the search. The contact may be outside the selected list scope.
Search phone numbers carefully
Phone numbers may be formatted automatically. If you are searching for an area code, include the formatting that appears in the field.
For example, to search for contacts with a 312 area code, search for (312 instead of 312.
Search countries carefully
When searching by country, typing a country name searches for an exact match. If you are not sure how the country is entered, use a broader search or a wildcard.
Use wildcards
Wildcards help you search when you do not know the exact spelling or full value.
| Wildcard | Use it to represent | Example |
|---|---|---|
* or %
|
Any number of unknown characters |
Sm*th can find Smith or Smyth. |
? or _
|
One unknown character |
Jo*s?n can find Johnson, Jonson, or Johnsen. |
Use wildcards when you know part of a value but not the exact spelling or formatting.
Work with search results
After a search runs, results appear in the search results grid.
From the results grid, you can:
- Review matching contacts.
- Choose available actions.
- Adjust which columns appear.
- Filter columns to narrow the results further.
- Use the results for follow-up, review, export, or data cleanup.
Available actions depend on your permissions and the type of search results returned.
Saved Search access and permissions
Saved Searches use permissions to control access.
Permissions can determine:
- Who can see Saved Searches.
- Who can run a Saved Search.
- Who can edit a Saved Search.
- Which groups can access the Saved Search feature.
For new clients, Saved Search group permission is enabled by default for the Data Administrators and Marketing groups. Administrators can enable or disable the group permission from Group Management.
For existing clients, Saved Search group permission is off by default. An administrator must enable the permission for at least one group before users in that group can see the Saved Search feature.
Queries transition
Saved Searches are the updated search experience in InterAction+™ AI.
For existing clients, Queries may remain available during the transition period. Administrators should plan to review existing Queries and recreate needed searches as Saved Searches before Queries are retired for the tenant.
For new clients, Queries are no longer available.
